Nothing is deleted and nothing locks you out. You simply can't add the next thing past the limit — a new student, a file over your storage, a fourth PDF export on Free that month — until you upgrade or make room. Everything already in your workspace stays exactly as it is.
No, and that is deliberate. Ownly Academy is adult-managed: student profiles are records that parents, guardians, and authorized adults maintain. Children never have credentials, never sign in, and never interact with the AI. That is written into our Terms and Privacy Policy, not just this page.
Only if you decide so. A tutor you invite sees no children at all until you assign them, and you control per member which areas they can open — expenses, resources, compliance, and reports. The account owner decides; everyone else has exactly the access they were given.
Not unless an adult in your household turns AI on in Settings — it is off by default for every workspace. When it is on and you ask the assistant a question, your message and a summary of your household's records are sent to Google Gemini through the paid API tier, whose terms bar Google from training on your data. One click in Settings turns it off again.
We check each upload's size, declared type, and file signature so a renamed or disguised file is rejected. We do not run content classification, image matching, or malware scanning. Verified images may preview in the app; PDFs and other documents download as attachments. Your files remain private to your workspace, and you remain responsible for what you store.
From Settings, any time. The account owner can export the whole workspace — students, lessons, attendance, portfolio files, expenses — and can also delete the entire account permanently, including every stored file. Neither requires emailing us or waiting for anyone.
If you have entered homeschool records, they do not vanish: free accounts follow our published 180-to-570-day inactivity schedule, with email notices before any change, and signing in resets that clock. An unverified, record-free registration receives fresh verification links on days 3 and 6 and may become eligible for deletion on day 7; verifying the owner email cancels that path. A verified setup-only account receives warnings on days 7 and 13 and may become eligible for deletion on day 14. Student profiles, school years, and subjects alone count as setup; adding a lesson, attendance entry, portfolio item, goal, expense, field trip, file, or another record cancels either empty-account path. Every deletion path has its own internal authorization lock.
We organize the records; we don't give legal advice. The compliance area helps you track what you keep, and reports print clean records for evaluators — but confirming what your state, district, or umbrella school requires stays with you. We'd rather be honest about that line than pretend software can stand in for it.
